The Institute for School-Community Partnerships, Integrated Services, and Child Mental Health and Educational Policy (ISCP), which is part of the College of Education, envisions that all schools in the state of Florida and nationally will have the capacity to provide a safe, effective, and efficient environment to continuously improve the academic, social, and emotional growth of all students and to actively engage families and communities in education. The ISCP's nearly $23 million budget is derived from grants from federal, state, and private sources. It is the mission of the ISCP to implement and evaluate research-based and innovative practices in school and community settings. This is accomplished through (a) training, technical assistance, and support to key partners; (b) community-engaged research and program evaluation to inform key partners' decision making; (c) the development of research and evidence-based documents, tools, and resources to support implementation and evaluation activities; and (d) supporting the infrastructure and capacity of key partners to implement and evaluate federal and state educational policy.
Position Summary
The Federal Program Assistant provides support for the Bureau of Federal Educational Programs (BFEP) and LEAs in the implementation of all aspects of the Title IV, Part A program, as prescribed in the Every Student Succeeds Act (ESSA). The position reports to the Title IV, Part A P Federal Program Director while providing support to the Bureau of Federal Educational Programs (BFEP) administrative staff. This position entails fiscal, administrative, and business responsibilities needed for success of the programs, including purchasing/P-Card use; travel arrangements and reimbursements; collaboration with departments and staff at the USF Tampa campus on a wide variety of administrative matters; and preparing, updating, and maintaining records, databases, reports, and presentation materials, as needed. The Federal Program Assistant must interact proficiently with all stakeholders while demonstrating, modeling, and reinforcing the Department's fundamental values of quality, fairness, cooperation, respect, commitment, excellence, honesty, and teamwork.Minimum Qualifications: This position requires a high school diploma or equivalent, with at least four years in an office or administrative support position. Additional education may not be substituted for this experience requirement.
Preferred Qualifications: An Associate's degree or higher, with at least four years of experience in an office or administrative support position. Additional education may not be substituted for this experience requirement.
Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook)
Two or more years of experience as an office manager
Strong interpersonal and communication skills including professional telephone and e-mail etiquette

Grow Here .Performs all clerical and administrative work, including maintaining all records, organizing and updating virtual and physical files, receiving and screening phone calls, routing incoming email, and operating any office machines and equipment. Assists program staff in project-related activities, including compiling information for reports, designing forms to collect information from stakeholders, and webpage updates. Reviews and organizes documents submitted by stakeholders for completion and clarity. Corresponds via phone and e-mail with stakeholders, sub-recipients, and other staff. Oversees the preparation, processing, and tracking of Title IV, Part A documents, including sub-grant applications and amendments; travel packets; funding process pre-approvals; local educational agency monitoring documentation; and reports that require leadership approval. Maintains the program's internal and external calendar which includes scheduling meetings and sending reminders. Assists in the research, development, and promotion of program messaging. Monitors state program activities. Maintains a confidential stance regarding program and sub-recipients' activities and personnel information. Completes special projects as assigned by the director and other senior leaders. Collaborates with BFEP Office Manager and other Bureau program assistants to develop and implement processes and procedures for Bureau-wide work efficiency. Perform other duties and responsibilities as assigned by supervisor.
