Unit Secretary (Administrative)
TheUnit Secretary provides clerical support to the nursing units. Answers telephones, directs incoming telephone calls and records messages. Monitors resident call bell system. Stocks unit supplies. May distribute employee prescription drugs as per policy and procedure. Responsible for input of computer information and records entries. Responsibilities:
Responsible for coordinating and managing the clerical duties of the nursing unit. Supports and promotes the medical records and nursing department functions by following established policies and procedures. Copies and faxes documents as directed. Files records and information in a timely manner as per facility policy and procedure. Monitors inventory of unit supplies, orders and stocks unit supplies as necessary. Enters and updates computer data pertaining to resident medical information and medical records as directed. Must be able to utilize the computerized MedRec system. Thins and closes resident charts as directed per company policy and procedure. Files resident documents, reports and notes in resident charts as per policy and procedure. May assist or coordinate resident lab work and medical record chart preparation for physician rounds. Prepares various forms of resident ID such as bracelets, wheelchair tags, pictures ect. Updates information and replaces identification as necessary. Organizes medical record charts for new admission and readmissions. Prepares transfer information packets. Schedules various resident appointments and arranges for transportation. Notifies family or responsible parties of appointments and transportation arrangements Receives report and daily work assignment from supervisor at beginning of shift. Answers unit telephone and directs calls appropriately. Records and delivers messages in a timely manner. Acts as liaison for facility relations with the general public. Presents a service-oriented philosophy reflecting the ministry of Heritage Ministries and coveys this to staff and resident. Interacts courteously with all residents, family and general public. Promptly reports all complaints and concerns to the Unit Manager, Shift Supervisor or Charge Nurse. Utilizes e-mail and computer system to maximize communications, productivity and efficiency between departments, staff and supervisors. Maintains strict confidentiality of information as it relates to residents, co-workers, and the business of Heritage Ministries. Follows appropriate chain of command within department and facility organizational structure. Attends all required facility in-service programs and other various facility and department meetings, seminars, conferences as directed. Represents facility in community relations with acute care facilities, doctors offices and other service agencies in matters related to resident medical records.

Qualifications:
High School Diploma or GED/TASC required. Prefer college degree or college level courses. Education or experience in long term care medical records preferred. Demonstrated understanding and experience with computer application, typing, filing, knowledge of medical terminology and office procedure required. Accuracy and attention to detail required. Excellent verbal and written communication skills. An effective ability to read, write, and speak the English language is required. Ability to interact appropriately and professionally with staff, residents, vendors, volunteers, and the public in person and via the telephone. Ability to prioritize and coordinate tasks and assignments. Must be able to meet health assessment requirements, including required testing and health documentation. Ability to lift over 60 pounds at various times as necessary. Ability to stand, sit, walk, bend, stoop, squat, twist and engage in repetitive motion for extended periods of time. Ability to meet deadlines and handle stressful situations.
